School Receptionist

 

REPORTS TO: Principal

 

JOB SUMMARY:

The receptionist is a vital person to the overall operation of an orderly, smooth running, and effective school program.  This person must be able and willing to accept directions, complete assignments, and be of assistance to all of the school staff.

 

ESSENTIAL FUNCTIONS:

 

  • Serves as an effective public relations person.
  • Is courteous and pleasant at all times.
  • Answers the telephone; provides accurate information to callers and/or forwards calls to appropriate staff persons.
  • Accepts responsibilities of the specific office and channels requests through the proper means.
  • Maintains a business-like atmosphere in the office.
  • Exemplifies good example of orderliness, efficiency, neatness, and good citizenship

at all levels.

  • Promotes harmony and pleasant working relationships at all levels.
  • Is able to work from general guidelines without constant supervision.
  • Keeps information confidential.
  • Takes and transcribes dictation of various types, including correspondence, reports, notices, recommendations and record notes of meetings.
  • Obtains, gathers and organizes pertinent data as needed, and puts it into usable form.
  • Maintains a regular filing system, as well as a set of locked confidential files, and processes incoming correspondence as directed.
  • Places and receives telephone calls, and records messages.
  • Orders and maintains supplies as needed.
  • Performs any bookkeeping tasks associated with the specific position.
  • Performs a variety of routine clerical duties and some specialized duties according to assigned school and/or department; 
  • Welcomes visitors and arranges for their comfort, and screens unexpected callers in accordance with predetermined instructions.
  • Performs all assignments in a timely manner with accuracy.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:

 

  1. High school diploma.

 

  1. Proven knowledge of computer applications and office machines.

EVALUATION:

 

Performance of this job will be evaluated in accordance with the provisions of the Board’s policy on evaluation of classified personnel.

 

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondences. Ability to present information in one-on-one and small group situations to customers, clients, other employees and/or students. 

 

MATHEMATICAL SKILLS:

Ability to calculate figures and amounts such as discounts, interests, commissions, and percentages. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals.

 

REASONING ABILITY:

Ability to deal with problems involving a variety of concrete variables in standardized situations. Ability to define problems, collect data, establish facts, and draw valid conclusions.

 

OTHER SKILLS and ABILITIES:

Ability to develop effective working relationships with staff and the school community. Ability to communicate clearly and concisely.  Ability to perform duties with awareness of all district requirements and the Board of Trustees’ policies.

While performing the duties of this job, the employee is regularly required to sit and talk or hear.  The employee is occasionally required to walk and reach with hands and arms.  The employee must occasionally lift and/or move up to 10 pounds. Employee must be able to distinguish the difference between bells, buzzers, beeps, etc. While performing the duties of this job, the employee is required to meet deadlines with severe time constraints.

The employee is continuously communicating through speech.
